STEP 2: Agreement Signed – Prepare for Onboarding
- [ ] Save Client Info & Create Google Drive Folder
- Save client contact info.
- Create a dedicated Google Drive folder for the property.
- [ ] Send Onboarding Email
- In the email, outline the following:
- Complete the Property Organizer excel sheet (or Google Sheet).
- Request for door lock access for guest management (Schlage, Eufy, etc.)
- Schedule initial clean and maintenance walkthrough.
- Develop and send a recommended inventory list for approval.
- Notify about ordering items and scheduling photos once approved.
- Timeline overview: property goes live within 48 hours after photos are ready.
Include in Onboarding Email:
- [ ] Payment Structure
- Explain payment method: Airbnb sends payments to the owner; monthly invoices from us.
- Or the owner will have the PM list it under the PM profile and have payments go into a special bank account in Relay. Make sure to create a Relay checking account for this property.
- Urgency on Payment Authorization to avoid processing delays to owner.
- [ ] Inventory Check
- Ask about currently stocked items (e.g., blender, coffee maker, books, games).
- [ ] Vendor Scheduling
- Confirm with the owner about scheduling pest control, lawn care, and pool maintenance.
- Ask if they currently have a system for trash disposal. It is important to note who is handling trash. If they do not, you can look into either Can Monkey, a runner to handle trash, your cleaner, look on Facebook if a teenager in the neighbor will do it for cheap, or have the guest take it out.
- Ask if they have a system for refilling propane tanks. If they do not, you will have to provide a solution for this. ie. a runner completes this task
- [ ] Manager starts to build out Team - Boots on the ground
- Build your Dream team - cleaners, handymen, runners, plumbers, lawn care, pest control, HVAC, pool maintenance.
- [ ] Utility Check
- Confirm all utilities are under the owner’s name and set to autopay.
- [ ] Community and Permit Details
- Ask if the home is in a community and note any specific STR permits or access needs.
- [ ] Move-in Preparation
- Confirm if the property is ready to go live or if there are any pending items.
STEP 3: Scheduling and Preparations
- [ ] Create Onboarding Schedule
- Plan dates for the following:
- Initial clean and inventory walk.
- Initial maintenance walkthrough.
- Property photos.
- Schedule a day for creating and approving the listing draft.
- Set a target go-live date.
